Everything a practice needs. Nothing beyond.
The features follow your workflow, from the first click in the morning to the proof for Customs.
Clock in: one button, honest times
Employees use a single button: clock in, start break, end break, clock out.
- Server-side timestamps only. The browser never writes a time; all times come from the database.
- Live totals. Current session, today's work time and break time tick every second, with no polling of the server.
- Several employers. Staff who work for two doctors in the practice pick the employer; each entry is tagged accordingly.
- Midnight. A session running past midnight is split automatically at 00:00 Berlin time into two entries.
- Live ArbZG warnings. Banners on the button at 5 h 45 min and 6 h (break, §4) and at 9 h 45 min and 10 h (daily maximum, §3).
Correct: the four-eyes principle
Someone who forgot to clock out submits a correction request: old value, new value, reason. The owner or lead approves, denies or asks for a revision. Pending requests can be withdrawn and resubmitted.
Every approved correction is written server-side and recorded in the audit log with the approver and the time. No direct database editing, no Excel patches.
Absences: everything in one place
- Vacation: employees request it themselves; the owner or lead approves.
- Sick leave and training: recorded directly by the owner or lead, with no approval step.
- Comp time: the owner grants days, employees request them, in full or half days (morning or afternoon).
- Public holidays are set up per practice.
- Balance widget: entitlement, used, pending and remaining vacation at a glance.
- Conflict guard: requests on dates that already have an entry of the same or conflicting type are blocked.
- Privacy: sick leave is visible only to the owner and the lead, not to the rest of the team.
- Team calendar: two months side by side, public holidays highlighted, vacation and comp time visible within role permissions.
Plan: the shift schedule, at no extra charge
The shift schedule is part of the package. It works with the same contracts, absences and employees as time tracking, so nothing is maintained twice.
- Weekly plan per location. Calendar week, shifts with name, start, end and colour. Start from contracts, from last week, or empty.
- Skills and functions. Employees can hold several functions and skills; the plan shows them on the shift.
- Staffing requirements. Minimum headcount per function, skill, weekday and shift. Coverage is colour-coded (green, amber, red); gaps in a function or skill are called out separately.
- Vacation, sick leave and public holidays in the plan. You see conflicts at once; anyone absent is not counted as scheduled.
- Draft and publish. Employees only see the plan once you publish it. A published week can be revised; the version history shows who published when, and every state is in the audit log.
- My Schedule. Each employee sees their upcoming shifts, also on the clocking page.
- Print view. One landscape page per week, ready to post in the office.
Reports: overview and month-end
- Real-time presence. Each employee as a card: working, on break, expected or off duty. "Expected" appears when the contract says they should be in, there is no absence or holiday, and they have not clocked in by 09:45. One click opens the sick-leave form, already filled in.
- Monthly report. Target, actual and difference per employee and employer, vacation, sick and training days, flags on unusual days, drill-down to single entries, CSV export for payroll.
- §16 monthly printout. One click creates the PDF for all employers and employees of a month: each section with letterhead, a daily table (start, end, break, net, absence), a totals row and two signature lines.
- My Balance. Employees see their own hours balance, vacation, comp time and sick days, month by month, correct even after contract changes.
- Annual overview. Hours balance, vacation, comp time and sick days per employee on one page.
- Contracts with validity dates. Weekly hours, working days, vacation entitlement and shift times per weekday; past months stay correct after a contract change. Per employer you store the name and letterhead used on all printouts.
- Invitation by email. Enter a name and email, the invitation goes out, and the employee does the rest.
Proof: audit log and roles
Every change to time entries, corrections, contracts and absences creates an immutable audit log entry: what changed (old and new value), who did it, when (server time), which employee and which employer were affected. The PDF export is grouped by employer and carries a letterhead. It is the document for a Customs inspection.
Three roles: the owner with full access, the lead for approvals and reports, and employees for their own times only. The interface is available in German and English, switchable per person. More on the legal side on the compliance page.
